TOBACCO ENFORCEMENT SECTION

 

DUTIES:  Carries out Section administrative functions including preparation of all requisite finance paperwork including Purchase Requisitions, Travel Reimbursements and Supply Orders.  Responsible for coordinating Section equipment & supplies procurement, typing, copying, document preparation, responding to public and regulated industry inquiries, reviewing and processing investigator invoices, and coordinating and attending specific program meetings and conferences. Responsible for archiving and determining retention of Section files and records as needed. Maintains and processes all Section reports and logs relating to the Section-assigned vehicles’ use and procedures. Additionally, acts as file custodian for Section and processes daily mail and facsimiles. Maintains proficiency with Office software systems including Microsoft Word and Excel and other office platforms. Assists personnel in administrative, clerical and regulatory matters as required. The administrative coordinator serves as the primary point of contact for the Tobacco Enforcement Section. This position additionally takes principal responsibility for certain critical regulatory operations. These regulatory operations consist of the daily collection, recording, correction and maintenance of Virginia state excise tax reports for cigarettes and roll-your-own tobacco products sold in Virginia, as collected from entities that hold active Virginia tobacco stamping permits. The position also involves daily contact with reporting industry representatives and with outside agencies such as the Virginia Department of Taxation. The administrator also works with Section auditors to reconcile  reported stamper data and provides other administrative and regulatory assistance as requested.


QUALIFICATIONS:  Requires the ability and intention to communicate with both internal and external parties thoroughly, effectively, promptly and consistently, employing correct spelling, grammar and syntax. Applicants must possess professional-level administrative experience and abilities including: familiarity with business procedures, office procedures, and office equipment, clerical duties such as typing, copying and filing, skills in detail-oriented data entry, strong familiarity with Microsoft Office platforms, proficiency in time management, ability to handle multiple concurrent tasks, strong planning and organizational skills, ability to work independently and as a team member, ability to organize and analyze large quantities of information, employing keen attention to detail, and possessing a high degree of initiative. Criminal background check will be completed on successful candidate.
